Employee Handbook Disclaimer: Free Sample + Where to Put It
A handbook disclaimer protects your business by clarifying the handbook isn’t a contract and policies may change. Here’s a copy-paste sample plus where to place it.

Introduction
If your employee handbook doesn’t include a disclaimer, you’re leaving a small but important legal risk open.
A good disclaimer does two things:
Clarifies the handbook isn’t an employment contract
Reserves your right to update policies as your business changes
The goal isn’t to sound scary. It’s to be clear, professional, and protective.
What an Employee Handbook Disclaimer Does
A standard disclaimer is a short statement that explains:
The handbook is guidance, not a contract
Employment is at-will (where applicable)
Policies may be changed, updated, or replaced
Managers can’t make promises that override the disclaimer (optional but helpful)
This prevents employees from arguing:
“Because it’s written here, you promised me X.”
Where to Put the Disclaimer
Use all three placements (simple + effective):
First pages (front matter)
Put it right after your welcome letter or at the very beginning.At-Will Employment section
If you include at-will language, mirror it here for consistency.Acknowledgment page employees sign
The strongest version is the one employees acknowledge in writing.
Copy-Paste Employee Handbook Disclaimer (Simple Version)
Handbook Disclaimer
This employee handbook is provided for informational purposes only and does not create a contract of employment, express or implied. Employment with the Company is at-will (where permitted by law), meaning either the employee or the Company may end the employment relationship at any time, with or without cause or notice. The Company reserves the right to modify, revise, or eliminate policies in this handbook at any time, with or without notice, subject to applicable law. No manager or representative of the Company has authority to enter into any agreement contrary to this disclaimer unless in a written agreement signed by an authorized Company officer.
(You can keep it shorter if you want, but this is a safe baseline.)
Copy-Paste Disclaimer (Extra Short Version)
This handbook is not a contract. Employment is at-will (where allowed). Policies may be changed at any time.
Use this if you want the cleanest possible tone—but if you can, use the longer version.
Common Disclaimer Mistakes to Avoid
Burying it deep in the handbook
Saying policies “will always” be applied a certain way
Making promises like “termination only happens after X warnings” (unless you truly mean it and can follow it every time)
Forgetting to include the disclaimer in the acknowledgment form
Quick Checklist
Before you publish your handbook, confirm:
✅ Disclaimer appears near the beginning
✅ Disclaimer is referenced (or repeated) in the acknowledgment page
✅ Any progressive discipline language includes flexibility (“may”, “generally”, “at management’s discretion”)
✅ Your tone stays professional and simple
Want a State-Specific Version?
Because disclaimer language can vary slightly by state and policy set, the easiest path is generating a version tailored to your company and state.
